V431.01 Faculty and Staff Emeritus Status Policy
Emeritus status is a recognition of the meritorious service of employees after years of association with Valley City State University. It represents the gratitude of the current faculty, staff, administration, students, and alumni of the institution, and is awarded to employees who both meet the guidelines below and represent the highest standards of distinguished service.
All Employees who leave employment from Valley City State University are eligible for Emeritus status if they have served Valley City State University for a minimum of ten full time years (or the equivalent of 10 full years) and meet the sum of 65 provision (the sum of the age of the employee plus the total years of employment at VCSU). Emeritus status is not automatically granted, but is conferred following a review of the individual's contribution to VCSU. Emeritus status may be revoked at the discretion of the institution, based on a mutual decision of the President and a majority of the members of the appropriate Senate.

- Emeritus employees retain their email account and limited access to personal data storage on the primary VCSU server designated for this purpose. Access will be reassessed every academic term and may be terminated immediately for violation of SBHE Policy or NDUS Procedures or it may be terminated or modified with a 30-day notice if server contract language, SBHE Policy or NDUS Procedures no longer permit this access without undue burden to VCSU.

Contingent Benefits for Emeritus Faculty and Staff:
- Office space may be offered to emeritus faculty upon request of their former department, provided they continue to engage in work that benefits the University and the space is otherwise unoccupied. Office space availability will be reassessed every academic term by the chair of the faculty member's former department, the VPAA, and the Director for Facilities Services.
- Emeritus faculty may retain limited access to facilities such as laboratories and studios, provided such access benefits the University and does not interfere with instruction or the work of active faculty. Access is contingent upon approval by the chair of the former department, VPAA, and Director for Facilities Services. Access will be reassessed every academic term and may be terminated at any time.
- Emeritus employees (faculty and staff) may request from the commencement coordinator the opportunity to process with current faculty and staff directors. In commencement, emeritus employees process after the current employees. They process in their own order of years of service, and are seated to the rear of the employee section. Emeritus employees participating in commencement are expected to wear regalia.
- Emeritus employees may request from the commencement coordinator permission to award the diploma to a family member during the commencement ceremony.
